Privacy Policy

This policy describes how TechInAdvance ("VirtuMotive," "we," "us") collects, uses, and shares information when you use the VirtuMotive dashboard, kiosk player software, and companion apps (Android TV, and any other platforms we release) — together, the "Service."

VirtuMotive is a business tool used by organizations (churches, medical offices, and other businesses) to manage content on their own screens. If you're an employee or volunteer using VirtuMotive on behalf of an organization, that organization controls the account and its content — this policy covers what VirtuMotive itself collects to operate the Service.

1. Information we collect

Category	What it includes
Account information	Name, email address, password (hashed), organization name, and role (Owner, Editor, or Viewer) when you sign up or are invited to an organization.
Billing information	Subscription tier and billing status. Card details are collected and stored directly by Stripe, our payment processor — we never see or store full card numbers.
Device and screen information	A generated hardware identifier, device token, screen name, connection status, and last-seen timestamp for each kiosk player or TV app you pair to your account.
Content you upload	Images, videos, PDFs, playlists, and schedules you create or upload to display on your screens.
Usage and log data	Standard technical logs (IP address, browser/device type, timestamps) used for security, troubleshooting, and abuse prevention.
Referral program data	If you participate in our referral program, we track referral relationships and payout eligibility tied to subscription status.

2. How we use information

To operate the Service — authenticating accounts, pairing devices, and delivering your content to your screens.
To process payments and manage subscriptions through Stripe.
To provide optional AI-assisted content generation. If you use this feature, the text prompts you enter are sent to our AI provider (Anthropic) to generate slide content — we don't send your uploaded media files or other customers' data as part of that request.
To power optional live widgets you choose to add to a screen (for example, weather), which may retrieve data from the relevant third-party provider for the location you configure.
To communicate with you about your account, billing, or service updates.
To maintain security, prevent abuse, and comply with legal obligations.

3. How information is shared

We don't sell your information. We share information only with the service providers that help us run VirtuMotive, and only as needed for them to perform their function:

Stripe — payment processing and subscription billing.
Cloudflare — storage of uploaded media files.
Neon — database hosting for account, content, and device records.
Render and Vercel — hosting for our API and dashboard.
Anthropic — processing of text prompts for optional AI slide generation.
Google Play and Amazon Appstore — distribution of our TV/device apps, subject to their own privacy practices for app installs and updates.

We may also disclose information if required by law, or to protect the rights, safety, or property of VirtuMotive, our customers, or others.

4. Data retention

We retain account and content data for as long as your organization's account is active. If a screen or device is removed from an account, its identifiers are no longer associated with any organization. You can request deletion of your organization's account and associated data by contacting us at the address below.

5. Children's privacy

VirtuMotive is a business tool intended for use by adults managing organizational accounts. We do not knowingly collect personal information from children under 13.

6. Security

We use industry-standard measures — including encrypted connections, hashed passwords, and access controls — to protect information. No system is completely secure, and we can't guarantee absolute security.

7. Your choices

You can access, update, or delete your account information from the dashboard, or by contacting us.
Organization admins can remove team members' access at any time.
You can unpair a device at any time, which stops it from receiving further content.

8. Changes to this policy

We may update this policy from time to time. If we make material changes, we'll update the "Last updated" date above and, where appropriate, notify account owners directly.
